Privacy Policy

Calendarina is a shared calendar and to-do list for the people you plan with. This page explains, in plain words, what we collect, why, who can see it, and what you can do about it.

The short version

  • We collect only what we need to run Calendarina.
  • We don’t sell your data, we don’t show ads, and we don’t track you across other websites.
  • Other people see only what you choose to share with them.
  • You can ask us for a copy of your data or to delete it at any time.

What we collect

When you sign in

We use Google sign-in. From Google we receive only your name, email address and a Google account ID that lets us recognise you next time. We don’t get your password, and we don’t read your Google Calendar, Gmail, contacts or anything else in your Google account.

What you create

Everything you put into Calendarina is stored so the app can work:

  • events (title, time, place, description) and comments on them;
  • tasks, who they are for and who took them;
  • groups, their names and members, and invites you create;
  • “Our time” windows, categories and their colours;
  • public schedules and polls you publish.

Your settings

Your display name, short name, avatar colour, language, time zone, week start, time format, active hours, notification preferences, and visibility settings for each group.

How the app is used

To understand what works and what doesn’t, we record a few simple usage events inside Calendarina — for example “a template was used” or “a step of the getting-started checklist was done”. These records contain IDs and dates, never the titles or contents of your events, tasks or groups.

We also store:

  • when you were last active (at most once an hour);
  • how many times a public schedule was opened, and how many calendars subscribe to it. Subscribers are counted by a one-way hash, never by who they are;
  • whether your account is a founding member of early access.

Feedback

If you send us feedback from inside the app, we store your message together with the page you sent it from and your account, so we can understand the problem and reply.

People who aren’t signed in

  • Visitors to a public schedule don’t need an account. We count the visit as described above and store nothing else about them.
  • People answering a poll type a name, which is stored with their answer. Anyone with the poll link sees it, unless the organiser hides names — then only the organiser does. A small cookie lets them change their own answer later.

What we use it for

  • to run Calendarina: show your calendar, share what you choose to share, suggest times, send in-app notifications;
  • to keep it secure and prevent abuse — for example, limiting how many requests can be made to a public link. For that we keep a one-way hash of the requesting address, for at most an hour;
  • to understand how people use it and make it better;
  • to reply when you contact us.

We don’t sell your data. We don’t use it for advertising. We don’t share it with anyone except the service providers listed below, who help us run Calendarina.

Who can see what

Inside groups

In each group you choose how much of your personal events the other members see:

  • Busy — only that you’re busy, with the time;
  • Titles — the title and time;
  • Everything — title, time, place and description.

If you share more than one group with someone, they see the most open level across those groups. For example, if you show “Everything” in a group with your partner and “Busy” in a group with your parents, and your partner is in both, your partner sees “Everything”. Each group’s settings page tells you when this happens.

Events and tasks you share into a group are visible in full to that group’s members.

Public links

When you publish a schedule or create a poll, anyone who has the link can open it — they don’t need an account. A public schedule shows the events shared into that group for the published dates: title, time, place and description. It never shows tasks, personal events, events still waiting for answers, or the names of group members.

Public links are not listed in search engines. A poll always has an expiry date, and so does a schedule unless you choose “no end date” when you publish it. You can stop a link at any time.

Please think before publishing names or details of other people — especially children — on a public schedule.

Cookies

We use only cookies that are necessary for Calendarina to work:

  • a session cookie that keeps you signed in;
  • a short-lived cookie used during Google sign-in;
  • a cookie that remembers your language;
  • a cookie that tells our website you are signed in, so it can offer “Open app”;
  • a cookie that lets a poll respondent change their own answer.

No advertising or tracking cookies, so there’s no cookie banner.

Where your data is stored

Your data is stored with these service providers, who process it only on our behalf:

  • [hosting provider, e.g. Vercel] — runs the app;
  • [database provider, e.g. MongoDB Atlas] — stores your data, in [region, e.g. the EU];
  • Google — sign-in;
  • Sentry — technical error reports: what failed, on which page, in which browser. No IP addresses and no cookies are sent.

If any of them processes data outside the EU, it is protected by the safeguards required by EU law (such as Standard Contractual Clauses).

How long we keep it

  • Your account and content — for as long as you have an account.
  • In-app notifications — deleted automatically 60 days after their last update.
  • Public links and polls — stop working at their expiry date or when you stop them.
  • When you ask us to delete your account — we delete your data within 30 days. Copies in backups disappear when those backups expire, within [X] days.

Some things you created together with other people stay for them after you leave — for example, a task you asked someone to do stays with that person.

Your rights

You can ask us to:

  • give you a copy of your data;
  • correct something that’s wrong (most of it you can change yourself in the app);
  • delete your account and data;
  • stop or limit a particular use of your data.

Write to hello@calendarina.com from the email address you use to sign in. We’ll reply within one month.

If you think we’re handling your data wrongly, you can also complain to the data protection authority in your country.

Children

Calendarina isn’t meant for children under 16 without a parent’s permission. If you believe a child has created an account without it, write to us and we’ll delete it.

Changes to this policy

If we change this policy in a way that matters, we’ll tell you in the app before the change takes effect. The date at the top always shows the latest version.
